Approvals in Microsoft Teams is a way to streamline all your requests and processes with your team or partners. You'll be able to create new approvals, view the ones sent your way, and see all your previous approvals in one place.

Add Approvals tab to a Team Channel

  1. In your team channel, select Add a tab +.

  1. In the Add a tab dialog box, choose Approvals.

 

Adding Approvals to Teams

  1. Click on the on the bottom left nav of Teams

  2. Search under Find an app for Planner

  3. Right click on Approvals

  4. Click Pin

Creating an Approval from chat

  1. Create a chat (including all members that need to Approve)

Note: When you create an approval from a Teams chat, you can only add approvers that are already in the chat.

  1. Click on (messaging extensions) below “Type a new message

  1. Select Approvals

  2. Fill in the name of the request, who needs to approve it, any additional info, and add an attachment if needed.

  1. Select Send. You’ll be able to view the request in the chat, or in the Approvals app hub
    (see below Viewing your Approvals).

The approval details will remain in the Teams chat history after the 7 days deletion due to the org’s retention policy:

Note: When an Approval is Rejected from any of the Approvers, the status changes to Rejected and is not able to be completed by any other Approvers that Pending Response.

 

Creating an Approval from the app

  1. Make sure you have Approvals installed in Microsoft Teams (see above, Adding Approval to Teams).

  2. Select Approvals from the listed apps within Teams.

  1. Click on + New approvals request.

  2. Fill in the name of the request, who needs to approve it, any additional info, and add an attachment if needed.

  3. If there’s more than one approver, you can select Require a response from all recipients.

Note: When an Approval is Rejected from any of the Approvers, the status changes to Rejected and is not able to be completed by any other Approvers that Pending Response.

Viewing your Approvals

From the Approvals option in the left navigation Teams, you can get a view of all the approvals you have sent or received.

Click on the Approval to view the status:

Cancel or Follow up on an Approval Request

  1. Click on the Approvals option in the left navigation Teams.

  2. Select the Approval you wish to cancel.  Note:  You can only cancel approvals that are in progress.

  1. Select Cancel request.

  2. Selecting Follow up to send out another notification to Approvers.
