Accessing the Optional Page from the Homepage

With appropriate permissions, end-users are able to assign training to selected users, organizations, jobs, or audiences.  Training can be assigned as Required (mandatory) or Recommended (optional).  Learners must be a member of the audience associated with the activity in order to see the assignment on their training schedule. 

Management Users Page

This page is used to assign training to a list of users.  Options for identifying the users include:

  • Select users by domain
  • Select users by organization
  • Select users by job
  • Select users by audience
  • Select users by manager
  • Select viewable users
  • Select users by email, username, or NT account (separated by commas or semi-colons)

The examples in this document used Select Users by Audience option.  Once the users have been selected you can apply additional settings to refine the assignment. 

Required field – Choices are:

  • Required – Learners must register and complete this mandatory training

  • Recommended – Learners are free to choose whether they want to register and complete recommended training. This training is not mandatory. 

Ignore Previous Completions – Select this checkbox if you want to assign the activity to the selected learners even if they have already completed the activity. 

Assignment date – Choices are:

  • Today
  • A specified number of days from today
  • A specific date

Due Date – Choices are:

  • No due date
  • A specific number of days after today
  • A specified date

Priority – Choices are:

  • None
  • 1 – Low
  • 2 – Medium
  • 3 – High
  • 4 – Urgent
  • 5 – Mandatory

Learner Assignment NotesAnything added here appears on the learner’s Activity Summary page along with the activity Name, Additional Information, Requirement Details (i.e. why the learner requires this training).  Because the end-user is assigning the entry displays as a Direct Assignment.

Administrator NotesAppear beside the activity in the workspace.  Only administrators can view these notes.

Once the users have been added by making selections in the Select Users Dialog boxes, a list of the users assigned to the training will display. 

View - Archived Users Assignments – Archived Users Assignments view shows archived assignments for users. 

 

Management Domains Page

The Learning Center is made up of many domains representing various State of Washington organizations.  These organizations sometimes have need to share a learning activity with another domain.  This is where end-users would manage that sharing.  If a learning activity is shared with other domains, it is visible in the domains it was shared with.  Other BADS professionals can copy the activity if you selected the Can be copied optional setting.  Note:  You cannot revoke the share permission if the activity is in use in another domain.  You can only choose to hide the learning activity from being used in the future.  The Add Domain Permissions dialog boxes are where the sharing happens.  The BADS professional selects the domain they wish to share with, and then they select what they are going to share. These options include:

  • Users – Can manage users in shared domains
  • Organizations – Can manage organizations in shared domains
  • Jobs – Can manage jobs in shared domains
  • Charges – Can manage charges in the shared domains
  • Purchase Orders – Can manage purchase orders in the shared domains

Management Topics Page

The Library makes it easy for learners to find training based on subject (such as Diversity, Equity, and Inclusion).  Activities do not appear in the Library unless they are associated with Library topics and/or subtopics.

Management Audiences Page

Users must be a member of the audience associated with the activity in order to see the assignment on their Training Schedule.  It is visible to anyone in a learner search or if associated with a topic.  Note:  It is important that the audience assigned in this step is the same as the audience assigned under the Registration - Audiences sub menu item.

Manager Assignment Settings Page

End-users can allow managers to add, edit, and remove assignments for their managed and viewable learners.  Your system administrator configures the manager assignment settings at the domain level, but you can update them at the activity level if needed.

 Assignment Approvals Page

You can set an assignment threshold so that, if too many users are assigned to an activity, the
assignments require review and approval. This is especially helpful in cases where a large group was
assigned by mistake (for example, a general audience instead of a more specific one) and helps prevent
learners from receiving assignment notifications for activities they do not actually need to complete.
