Definitions  

Mobile device: means any hand-portable device capable of text, voice, email, instant messaging (“IM”), photo messaging or other types of data communication. Generally referred to as a cellphone or phone. 

DES issued mobile device: means a device purchased and managed by DES for use by a staff member. DES retains ownership of the device and staff members must return the device as requested and/or at the end of employment with DES.  

 

I want to use a DES issued mobile device. What do I do? 

  1. Ensure your manager is aware that you are requesting a mobile device and agrees with your request.
  2. Submit a mobile device form
  3. Fill out the mobile device form annually as required by DES IT Support. 
  4. Return device at end of employment.

 

What to know before you use:  

Information you create, store, or manage on your device are public records and must be retained and produced as required. 

 

What should I do when using a DES issued mobile device? 

  • Do: Read, understand and agree to all responsibilities, obligations and risks in both the WaTech Mobile Device Policy and DES Mobile Device Policy. 
  • Do: manage your text messages: Text Message Retention – Washington State DES.  
    • Text messages are public records and must be retained as required, and you may be required to produce the texts for public records requests or legal actions.
    • In some cases, you may be required to turn in your phone for data/file retrieval. 
  • Do: Allow your state-issued phone to update as soon as possible to keep DES information secure.
  • Do: Report lost/stolen phones immediately to your manager and DES IT Support (desitsupport4u@des.wa.gov)  
    • Your device will be wiped to prevent unauthorized access to DES information/data. 
  • Do: Contact IT4U support if you forget your passcode. Too many failed attempts to access your device will result in wiping all data from your device and you could lose contacts, voicemails, text messages, and notes. IT4U can reset this for you to get you up and running quickly.  

 

What should I NOT do when using a DES issued mobile device?

  • Do not: Use your state-issued phone for personal purposes (phone calls, texts, photos). (See the Acceptable Use Policy.)
  • Do not: Sign into personal accounts on a state issued device. iCloud accounts especially can brick your device from being re-purposed.
